
I was speaking at a networking event for women entrepreneurs and business professionals last week and one of the members asked a very good question. "How do I figure out what to give to a virtual assistant to do in my business?"
While this post was originally written during my virtual assistant years, the principles still apply to building a strong, sustainable business today. And now you might be able to give some of these tasks to an AI assistant!
This is a question that I have been asked many times before but if you have about 15 minutes along with a pen and paper, I can share a great way for you to figure that out! Just call it your own private "Mastermind Session". Having a timer on hand also helps so you don't waste too much time on this little project. Here are the steps that will guide you to finding the best tasks for a virtual assistant to help you with: 1. On that piece of paper, take about 2 minutes and write down all of the tasks that you perform in a normal workday. 2. Draw a line under all of the tasks that you wrote down for step 1 and take another 2 minutes to write down things that you would like to accomplish but simply do not have time to do. 3. On the right side of this list for the tasks that you wrote in step 1, write down the approximate amount of time that it takes you to do each task. Spend 2 minutes doing this step. 4. Now, put a star (*) beside the tasks on your list, that you don't enjoy doing (I'm sure every business owner has some tasks that are necessary for their business but ultimately go to the bottom of your to-do list simply because they are not enjoyable!). I'm sure you can accomplish this in only 1 minute! 5. Use your remaining time to evaluate your list.
- Items that take a good amount of time out of your day and you absolutely do not like to do go to the top of your virtual assistant task list!
- Next in line, are the other tasks that may not take up an absorbent amount of time but you still do not like to take care of them.
- And finally, the items that you have under the line that you drew after step 1, go next on your list for a virtual assistant.
Remember, there are all kinds of virtual assistants out there and they take care of a variety of tasks - from small tasks to large-scale projects.
